Riskmonitor are independent specialists in the delivery of Fire Safety consultancy and services; they help ensure hundreds of organisations across the UK and Ireland comply with the Regulatory Reform (Fire Safety) Order 2005.
Their services cover fire risk assessments, strategy planning and fire awareness training.
Riskmonitor as using Google’s platform for file management and email but it caused significant business issues;
to be compliant with regulatory standards, Riskmonitor needed a more secure platform for sharing documents and communications. Riskmonitor also needed to improve internal collaboration, regardless of device or location.
Grey Matter has long been a supplier of Riskmonitor’s Microsoft Developer Network agreement MSDN for Visual Studio. So we were the natural choice for this project thanks to our existing relationship and experience of Microsoft technologies.
Our services team migrated over 40 mailboxes to Exchange Online. To reduce administration workload and costs whilst maintaining access to data, shared mailboxes were suggested instead of user mailboxes where appropriate. To minimise downtime, our team recreated distribution lists, shared mailboxes and user mailboxes ahead of the cut-over migration date.
To maximise productivity and save users time creating signature they implemented and configured centrally managed email signatures in CodeTwo.
Microsoft Teams was implemented along with SharePoint to enhance internal collaboration and help the in-office team easily communicate with the assessors out in the field.
Acronis was implemented to backup OneDrive, SharePoint and Exchange Online.
Finally, they created handover documents for Riskmonitor’s technical team to ensure a smooth handover and minimise time to value. Riskmonitor are now fully equipped to effectively manage their Office 365 tenant.
Riskmonitor is now compliant and has a more robust and fully integrated platform for file management, emails and collaboration. Their teams now spend significantly less time switching between mailboxes,
trying to find and share files and updating email signatures.
