GFI MailArchiver 2015 is powerful email archiving software that provides secure, compliant storage for emails and documents, supporting Microsoft Exchange and other mail servers. GFI MailArchiver is used by administrators all over the world to maintain an archive of all corporate email correspondence, manage and reduce the company's dependency on PST files and also to meet a growing number of regulations on compliance, eDiscovery and other legislation. GFI MailArchiver stores all email in a central location, easily accessible in two ways: through a folder in your user's Outlook email client, or by using a web browser.

What's new in GFI MailArchiver 2015?

The new version of GFI MailArchiver 2015 includes:

  • GFI Directory, an Active Directory replacement for GFI Archiver. Organizations who do not have Microsoft Active Directory can use GFI Archiver simply by installing it in GFI Directory mode.
  • History retention provides easy control over the storage of different versions of archived files.
  • Archive stores management utilities are now available as a separate download for all administrators who do maintenance jobs on their databases, including exporting to a new database and splitting older archive stores into smaller ones.

What's new in GFI MailArchiver 2014?

The latest version of GFI MailArchiver is aimed to address the need for archiving critical business information that extends beyond email.

  • Through the File Archiving Assistant (FAA), GFI MailArchiver is now capable of automatically storing copies of your most important files and folders on your machines. This process is done automatically without any user input, and without interrupting any existing workflows.
  • Through the FAA, users can also share files and folders between their own machines, and also share between different users; enabling collaboration and version control.
  • All the archived files are indexed for quick searching and retrieval and accessible anywhere on any internet connected device.
  • Businesses gain peace of mind knowing their vital company information is stored in a safe and manageable place within the company infrastructure and without using any third party online storage providers.
  • GFI MailArchiver now also allows you to manage your archive better through the Outlook Connector or IMAP. In version 2014, users can rename and delete folders and also delete emails from the archive if they have the right permission level.
  • Full auditing features for larger organisations that use SQL + FS databases.

Works in parallel with your email server

GFI MailArchiver works in parallel with Exchange without impacting on Exchange in any way. It leverages the journaling feature of Exchange Server, taking a copy of journaled emails and archiving them in a separate server. GFI MailArchiver also supports other email servers and can poll email from any mail server supporting IMAP and Active Directory.

Automatically archives email into a single, central store

With GFI MailArchiver you can move old emails into a separate database, which will keep your mail server performance high and email stores compact. GFI MailArchiver can manage your archive stores and automatically role over to a new archive store when it reaches a certain size.

Rule-based or selective archiving

For those businesses that do not wish to archive everything, rule-based archiving allows the administrator to selectively archive email based on certain criteria, including sender, recipient, keywords or a combination of these.

Archive assistant

The Archive assistant is an Outlook Add-on that allows users to archive messages manually or automatically direct from Outlook. Companies can also use the archive assistant to automatically import historic PST files into the archive, making old emails easy to find and retrieve.

Archive files, faxes, SMS and voice messages too!

Using the Archive Assistant, GFI MailArchiver can be used to archive documents from within Outlook. Archived documents are fully searchable. If you send and receive fax and SMS messages via email using an automated faxing solution such as GFI FaxMaker, or you receive your voice messages via email, then these messages will also be saved in the archive.

Multiple database support and automatic database management

Archive email across multiple databases eliminating the problems of having one large database that grows slow and becomes a maintenance problem.

Reduces email storage requirements

GFI MailArchiver uses single-instance storage (SIS) to store a single copy of a multi-recipient email and its attachments, rather than multiple copies of the same email. It also compresses email attachments.

Helps with regulatory compliance

By archiving all company email, GFI MailArchiver helps organisations comply with regulations such as the Sarbanes-Oxley Act. Under the Sarbanes-Oxley Act 2002 and Security and Exchange Commission (SEC) rules, public companies must prove that their internal controls and audit trails are sound and that their processes are capable of producing certifiably correct data.

Helps identify businesses with MailInsights reports

MailInsights provides an easy-to-use web-based interface that lets companies securely generate PDF reports that can help businesses identify risk and manage email productivity through actionable information found in their email history. Reports can be scheduled and delivered by email, or issued on demand.

Audits archived email for tamper-free guarantee

GFI MailArchiver includes auditing functionality that ensures all archived emails have not been tampered with.

Outlook integration

Integration with Outlook means that archived email can be accessed from Outlook as if it were in an Exchange mailbox or a local PST file.

Graphical dashboard

GFI MailArchiver features a graphical, dynamic dashboard that displays the status of various archiving processes. This makes it easier for administrators to spot potential errors before they become an issue.

Access your email archive from any device

GFI MailArchiver stores all your organisation's email in a central location that is quick and easy to access in the office or on the go. You can view your email archive in the following ways: in Outlook alongside your other email, via web browser link direct to GFI MailArchiver interface or via any other IMAP-enabled device such as iPhone, iPad and Android.

Offline access to the email archive

GFI MailArchiver uses an Outlook Connector to make it easy for users to access their archived email from within their Outlook email client. The Outlook Connector can be configured to give users access to a predefined number of emails in an offline cache.

The product is licensed by the number of mailboxes. The first year of support is included in the product license price and support renewals are available in 1, 2 or 3 year terms. Renewal of the Software Maintenance Agreement (SMA) is recommended and includes updates to new releases, patches, web chat, email support, phone support and access to GFI's electronic knowledge base and forums.


A product version upgrade is required when you want a new version of the product and do not currently have SMA. There is a 30 day grace period from date of SMA expiration before a product version upgrade is required.

There is a no-returns policy on all GFI products.
